DOCUMENT CONTROLLER

1. OBJECTIVE
1.1 As the Document Controller, you will be responsible for assisting the Project Team with the collation and management of the document system.
1.2 Responsible for assisting the Project Team with day-to-day administrative duties.

3. GENERAL RESPONSIBILITIES
Duties will include: –

3.1 Compliance with Company and Project safety, health and environment regulations;
3.2 Typing, filing, photocopying, maintaining site records, taking telephone messages, meeting and greeting visitors to the site;
3.3 Manage spread-sheets, word documents and other general office admin duties;
3.4 Arrange internal and external meetings and produce meeting minutes accordingly;
3.5 Manage the control of project documentation and filing systems;
3.6 Ensuring Department, Project and Company procedures are followed;
3.7 Collate all weekly site hours for your project, to prepare the weekly excel timesheets and plant and equipment returns and submit on time to the relevant department;
3.8 Ensure cross-departmental communication is effective and accurate;
3.9 General involvement in the procurement process for site required purchases, liaising with the procurement department;
3.10 Administrative assistance with site QA and TQ requirements;
3.11 Maintain the MDR (Master Document Register) contents as live documents and update as and when required throughout the project;

3.12 Maintain live internal server and client share point information and distribute documentation to the project team & client;

3.13 Assist the site supervisors according to the work schedule and assist the Project Manger to achieve the project goals;

3.14 Assist with the site waste tracker and collation of tickets and duty of care notes;
3.15 Ensure the environmental and safety performance, accident record and any significant event affecting or arising from any activity is recorded;
3.16 Assist Project Manager and scribe DAB Daily Activity Briefing documents;
3.17 Ensure relevant daily site inspections and daily diaries are undertaken and documented;
3.18 Ensure all personnel are inducted prior to commencing any activities on site;
3.19 Ensure copies of operative training certification and occupational health certificates (medical surveillance) are maintained on site and a register detailing type of training course and competency;
3.20 Ensure good housekeeping standards are maintained at all times;
3.21 Ensure the Plant and Equipment Maintenance Manager is made aware of all defects to plant and equipment and ensure that any defective plant or equipment is quarantined until defect is repaired;
3.22 Assist with all monthly and weekly meetings, including collation of reports and presentations;

3.23 Diary to be updated daily
